Online Lessons: Terms and Conditions
1. Lessons and Payment
- Fees must be paid in advance: by monthly subscription, upfront payment in full, or in two EFT instalments, depending on the selected package.
- Scheduled lessons are confirmed only after payment is received.
- For last minute scheduled lessons, payment must be made within 24 hours of the booking request, or the lesson slot will be released to other students.
- Upon confirmation of lessons, an email and WhatsApp (where a number is provided) will be sent to the parent and student with a link to join the lesson.
- There is a minimum subscription of 8 weeks (8 lessons).
- Failure to make timely payments will result in suspension of access to lessons until payment is received.
2. Cancellation and Rescheduling Policy
- Lessons cancelled by the student with less than 24 hours’ notice will be charged in full.
- Lessons cancelled by the tutor will either be rescheduled at no extra cost or credited toward the next month’s lessons.
- Students are entitled to one free rescheduled lesson per month if 24 hours’ notice is given.
- During school holidays, all scheduled lessons may be rescheduled without additional charge at a mutually convenient time.
3. Technical Requirements
- Students must have a stable internet connection, a working computer or tablet with audio/video capabilities, and the required software (e.g., Tutorcruncher/Lessonspace).
- Bright Young Minds is not responsible for technical issues on the student’s side that may prevent attendance.
- We recommend testing your equipment and internet connection before each session.
4. Parent/Guardian Supervision
- Parents/guardians are responsible for ensuring students log in on time and attend scheduled lessons.
- Younger students may require a parent or guardian nearby to assist with technology or other needs during lessons.
5. Lesson Conduct and Participation
- Students are expected to arrive on time, be prepared, and actively participate in lessons.
- Disruptive or disrespectful behaviour may result in the lesson ending early without a refund.
6. Missed Lessons and Make-Up Policy
- Missed lessons without prior notice are forfeited and will not be refunded.
- Make-up lessons may be scheduled at the tutor’s discretion, provided 24 hours’ notice was given.
7. Lesson Recordings and Privacy
- Lessons may be recorded for internal quality and training purposes.
- Recordings will not be shared with third parties. By enrolling, parents and students consent to this practice.
8. Intellectual Property
- All materials provided by Bright Young Minds, including worksheets and lesson plans, are for personal use only and may not be distributed or shared without permission.
9. Termination of Services
- Bright Young Minds reserves the right to terminate enrolment due to non-compliance with these terms or repeated behavioural issues.
- No refunds will be provided for unused lessons in such cases.
10. Limitation of Liability
- While Bright Young Minds strives to deliver high-quality lessons, we are not liable for any direct, indirect, or consequential damages arising from the use of our services.
11. Communication
- All communication, including invoices, statements, and notices, will be sent via email, WhatsApp, SMS, or hard copy.
- Parents are responsible for ensuring contact details are up to date and for reading all correspondence.
12. Financial Policy Summary
- Minimum Term Commitment:
- A minimum of 8 weeks of lessons is required.
- Fees and Payment Terms:
- Monthly fees are due on the 1st of each month, with no payment breaks allowed.
- Overdue Accounts:
- Interest of 2% per month applies to overdue accounts. Unpaid accounts may incur additional collection charges.
- Annual Fees and Increases:
- Fees are reviewed and increased annually in January.
13. Termination of Lessons
- Termination requires a written notice of one calendar month (i.e., 4 weeks from the 1st of the month).
- No catch-up lessons will be provided after termination.
14. Satisfaction Guarantee
- If you are dissatisfied with your tutor, we’ll assign a new tutor and waive the charge for the first session.
15. Acceptance of Terms
- By enrolling in lessons with Bright Young Minds, parents and students acknowledge and agree to these terms and conditions.
